Studio and Procurement Manager

California

Alexander Design is seeking a full-time Studio & Procurement Manager. The Studio & Procurement Manager ensures a smooth functioning of all supporting roles to Alexander Design and will assist with FF&E specifications, overseeing, and coordinating purchase orders from inception to final vendor payment. The ideal candidate will love to organize and standardize processes that lead to greater efficiency and simplicity wherever possible, and ultimately make tasks easier and more transparent for the design team at large.

Billing, Procurement, and Logistics

  • Studio Designer data entry; creating proposals/invoices/purchase orders
  • Place and track orders for projects
  • Liaise with vendors and suppliers
  • Manage / oversee shipping vendor and client warehousing / intake process
  • Assist as needed to manage/track client retainers and funding
  • Assist team with receiving local deliveries as needed
  • Assist with tracking all shipping related accounts – Fedex, Messenger, etc.

General Office Management

  • Manage team calendar
  • Purchase and organize office supplies when needed
  • Maintain sample library, organize team sample management/purging
  • Schedule and prepare agenda for team meetings (and attend/lead meeting)
  • Office housekeeping: ie water plants/check mail/voice mail messages/manage phone system
  • Take initiative in creating new organizational systems where applicable
  • Place orders for sample library as needed

Admin

  • Setup new projects in Studio Designer and Dropbox
  • Work with Principal and team to streamline procedures, create office standards, and recommend ways to improve project management
  • Communicate regularly with business manager and accountant
  • Assist with organizing project installs and coordinating logistics / install team
  • Support design team as needed with project management tasks
  • Manage exit/ offboarding process and create exit/ offboarding and transition standards where needed

Software and Programs

  • Manage Dropbox folders, project management software, and Google Drive
  • Create, edit, and manage templates (for folders, presentations, and drawings)
  • Manage Studio Designer organization and new project setup
  • Manage licenses and subscriptions where needed

HR

  • Post, write, and edit job listings as needed
  • Assist in the process of hiring relating to HR
  • Point of contact for onboarding new hires
  • Tracking employee time off
  • Assist with organizing employee reviews
  • Manage employee handbook
  • Manage intern schedule and availability
  • Assist with new intern onboarding and searches for new interns as needed

Inventory

  • Manage and organize inventory, including items in storage with interns /assistants
  • Manage/organize storage unit
  • Manage inventory in Studio Designer
  • Assist with returns of merchandise

IT

  • Setup and manage all software accounts for new and existing employees
  • Track all employee software accounts and maintain login directory
  • Assist with IT issues and communicating with IT team

Principal

  • Assist with tasks for Principal as needed

Junior Designer

California

Alexander Design is looking for a creative full-time Junior Designer with 2+ years experience to join our young and vibrant Los Angeles studio. The ideal candidate is a hard working and enthusiastic person looking for an exciting opportunity within a small, design-focused team and will meet the following criteria:

  • Assist with managing projects through all phases including schematic design, design development, construction administration, FF&E and installation
  • Collaborate with design team and Principal to produce thoughtful schematic designs
  • Produce CAD and/or Revit drawings and renderings where needed to support design
  • Create design presentations and prepare materials for client meetings and assist with client presentations
  • Source and procure all furniture, fixtures, and accessories by communicating with vendors
  • Generate proposals, purchase orders, and invoices
  • Oversee custom furnishing orders
  • Produce and maintain materials and fixtures schedules
  • Maintain vendor relationships
  • Attend meetings with design team, contractors, architects, and clients
  • Manage multiple projects at once
  • Assist with installations, photoshoots, styling, and project completion

Qualifications

  • 2 + years of Interior Design experience in a similar role
  • Bachelor’s or Associate’s degree in Interior Design or related field
  • Proficient in AutoCAD, Sketchup and 3D rendering software (Enscape, V-Ray, Podium etc.), Keynote, Adobe Creative Suite, and Google Suite. Revit a plus. Familiar
  • with MAC operating software.
  • Experience with Studio Webware and Monday project management software a plus
  • Knowledge of high end sources for furniture, finishes, fixtures, materials, and specifications for high end residential and/or boutique commercial environments
  • Experience in construction (ground up and/or remodels)
  • Able to work independently, collaborate with a team, and multitask in a fast paced environment and have strong time management skills
  • Able to think creatively to come up with solutions and designs individual to each project
  • Are extremely organized and detail oriented and have great written and verbal communication skills
  • Have a strong work ethic and are willing to jump in wherever needed, are enthusiastic and a self starter
  • Lives in the Los Angeles Area (or willing to relocate) and has a reliable car – Able to assist with installations including moving accessories and small furniture

Mid-Senior Designer

California

Alexander Design is looking for a creative full-time Mid-Senior Designer to join our young and vibrant Los Angeles studio. The Mid/Senior Level Interior Designer’s role is to support and assist with all aspects of project management and coordination for the firm’s design projects from conception to completion.

The ideal candidate is a hard working and enthusiastic person with a minimum of 5 years of experience in residential interior design, focusing on high-end residential design. This candidate is looking for an exciting opportunity within a small, design-focused team and will meet the following criteria:

  • Have the ability to manage multiple projects simultaneously through all phases including schematic design, design development, construction administration, FF&E and installation
  • Work closely with all team members as well as our clients, vendors, architects, contractors, and network of specialist manufacturers
  • Produce thoughtful schematic designs independently and/or in collaboration with Principal and design team
  • Lead project team via both delegation and execution of specific design related tasks
  • Produce CAD and/or Revit drawings and renderings where needed to support design
  • Create design presentations and prepare materials for client meetings and assist with leading client presentations/meetings
  • Work with design team to source and procure all furniture, fixtures, and accessories by communicating with vendors and generating presentations/proposals for client approval
  • Maintain positive client relationships throughout project, keeping client apprised of project progress on regular basis
  • Manage client expectations with regard to project scope, budget and schedule to ensure the client understands the services that Alexander Design will provide, and the time frame in which they will be provided
  • Oversee procurement process and generate proposals, purchase orders, and invoices as needed
  • Build and manage FF&E project budgets based on design intent
  • Track time daily and noting billable hours
  • Review architectural floor plans and elevations for design sign off
  • Manage alongside junior members of the design team scheduling / tracking of deliveries and project installations
  • Design and oversee custom furnishings orders
  • Prepare and maintain specifications and schedules with accurate product information for all furniture, lighting and finishes
  • Manage and prepare for installs including sourcing and procurement of accessories

Qualifications

  • 5+ years experience in high-end residential design experience in a similar role
  • 4 year degree in Interior Design or Interior Architecture from accredited program preferred
  • Experience in all phases of project work including preparation of conceptual, schematic, design development and construction documents/supporting materials
  • Direct project management and construction administration throughout phases as needed
  • Must be proficient using AutoCAD, Adobe Creative Suite, and Google Suite. Must be familiar with MAC operating systems. Experience with Studio Designer and Keynote a plus.
  • Hand drawings or computer renderings that communicate design intent a plus
  • Understand custom furniture design and window treatments
  • Deep understanding of finish materials and knowledge of their required applications as well as installation requirements.
  • Knowledge of high end sources for furniture, finishes, fixtures, materials, and specifications for high end residential and/or boutique commercial environments
  • Excellent management skills and history of managing junior designers
  • Able to think creatively to come up with solutions and designs individual to each project
  • Thrive in a fast paced environment
  • Are extremely professional and detail oriented and have great written and verbal communication skills
  • Able to work independently, collaborate with a team, and multitask in a fast paced environment and have strong time management skills
  • Be extremely organized with excellent follow through skills
  • Have a strong work ethic and are willing to jump in wherever needed, are enthusiastic and a self starter
  • Lives in the Los Angeles Area (or willing to relocate) and has a reliable car
